Dibs (Volunteering) Frequently Asked Questions


What are Dibs?

Running a successful Little League is a lot of work and Plymouth New Hope Little League is a volunteer-run baseball community. To help keep things running smoothly, to ensure our league is strong, and to build community among baseball-loving families, each participating family is asked to contribute in some way. Most families choose to volunteer their time, but you may also choose to "buy out" your hours with a financial contribution.

For those families that choose to volunteer their time, PNHLL uses Track it Forward to schedule and manage our volunteer opportunities. Available Dibs shifts will be found on our Track it Forward site here:  https://www.trackitforward.com/site/plymouth-new-hope-little-league

There are many opportunities and options for fulfilling your Dibs hours including:

  • Player evaluations in March 
  • Regular season - May, June, early July
  • Tournaments - Rookie Weekend in June, Memorial Cup in late July
  • Dibs hours buy-out option (see below)
  • Hire someone to fulfill your hours for you (see below)

When you register your player for the pring season, you will automatically be added to an email distribution list that will alert you to Dibs opportunities. See below for other questions about emails.

How many Dibs hours am I required to fulfill?

  • 6 Hours for families with 1 player in the Rookie division
  • 14 Hours for families with 1 player in the Minors or Majors divisions
  • 12 Hours for families with 2 Rookie players 
  • 16 Hours for families with multiple children in the league
    • The maximum number of hours per family is 16. Thus, if a family has a Rookie and a Minor A player, their Dibs requirement is 16 hours
  • If you find that you cannot make a future scheduled Dibs shift for any reason, a 96-hour cancelation is allowed. You are expected to fulfill the shifts that you sign up for, failure to do so will ultimately result in forfeiture of Dibs check (see below). 
  • Regular and Post season hours both count towards your Dibs obligation.

How does the Dibs deposit check work?

If you intend to fulfill your hours (as opposed to using the buy-out option), a volunteer deposit check (Dibs check) will be collected at evaluations. If a deposit check (or buy-out) is not received by evaluations, your player may be evaluated, but will not be placed on a team or receive a uniform until the DIBs check has been turned in to PNHLL.

Please make checks payable to PNHLL and include your players' names in the memo section.

Your $350 checks WILL NOT be cashed if your family fulfills the required hours for the season.

What jobs do and don’t count towards fulfilling Dibs hours?

All jobs posted in the Dibs section of pnhll.org are eligible to earn Dibs hours.

These jobs include: 

  • Concessions (During tournaments and regular season) 
    • REGISTER - Cashier 
    • RUNNER - Order Delivery/Float 
    • RUNNER - Grill/Food Prep 
    • LEAD – Opener/Closer – please email [email protected] if interested in earning BONUS DIBS by being a Concession Lead 
  • Field Maintenance Crew – please email [email protected] if interested in joining the Field Crew 
    • Raking fields 
    • Hanging Sponsor Banners 
    • Chalking fields and raking in between games, during tournaments 
  • PNHLL-Hosted Tournaments
    • Maintenance/Field Chalk
    • Tournament Helper/Scorer
  • Evaluations
  • Coaching and Assistant Coaching (3 Allowed per team) 

While we greatly appreciate everyone pitching in where and when it's needed, the following jobs are 
not eligible for earning Dibs hours:

  • Regular season
    • Helping out at practices or games
    • Score bookkeeping
    • Pitch counting
    • Score board
  • Winter clinic
    • Coaching or assisting

How do I sign up for Dibs shifts?

First, you must register for an account.  Our registration system does not allow for dibs hours management so you will have an additional account for Dibs, separate from your Little League account.

We are using a volunteer tracking platform called Track it Forward.  The PNH Track it Forward page can be found here: https://www.trackitforward.com/site/plymouth-new-hope-little-league.  You will receive an email invitation from Track it Forward to set up your account.  The email will be sent to the primary email address on your registration.  If you would like to add an additional volunteer to work towards your dibs requirement, you can do so by sending the additional volunteers name, and email address to [email protected]

**You must do your initial registration on a computer, not the mobile app** 

  • Please click on the link in your invitation email to set up your account.  If you did not get an email, you can go to https://www.trackitforward.com/site/plymouth-new-hope-little-league and click on “Click here to register”

  • Click on Log In 

  • User IDs are defaulting as your e-mail address you registered for PNHLL with. You may change it within the site's parameters if you would like. 

  • Choose a password and confirm it. Click on Save. 

  • This will take you to your profile. Please confirm your information. 

  • Please note - if you have multiple players, your hours will be tracked based on your youngest player's name. (For those with twins, we have used the first one alphabetically). This has been auto filled into your account. 

  • If you enter your phone number and enable texts, you will receive text reminders for your shifts as well as updates in case shifts are canceled or postponed due to weather etc. 

  • Click on Save Profile. 

Once your account is set up, you may use the mobile app for everything going forward. Search for Track it Forward in your App or Play store. 

Your account must be set up to register for open shifts.  You can find shifts in Track it Forward by clicking on Events in the menu bar.  If you are signing up for a shift that will be worked by someone other than yourself, please enter that in the Notes field when signing up. 

Shifts are confirmed as completed in Track it Forward by the Volunteer Coordinator, generally within a week of working them.  Please make sure you sign in for your shifts in the Concession Stand. If you have not signed in, you will not receive credit for your shifts.

When you have worked enough hours to fulfill your obligation, you will be awarded a milestone in Track it Forward to verify you are done with your hours.  You can track your progress in the app or on the website. 

What if I don’t want to work Dibs hours? Is there a buy-out option?

You can opt to buy-out your required hours by paying $200 for Rookies and $350 for Minors and Majors, or families with 2 or more players. You will be charged at the time of evaluations and will not be required to fulfill any DIBS hours.

What happens if I can’t make my Dibs shift?

If you find that you cannot make your scheduled shift for any reason, you may cancel your shift online through Track it Forward, 96 hours or more in advance of the start of your shift.

If there are fewer than 96 hours until the start of your shift, you must email our Volunteer Coordinator as soon as possible so we can try to help you find a replacement, please understand that PNHLL cannot guarantee you a replacement on short notice.

Multiple shifts either cancelled inside the 96-hour window or that are "no shows" will result in your Dibs deposit check being cashed.

What if my Dibs shift is cancelled, delayed, or cut short due to weather?

If games at Zachary Playfield are cancelled by PNHLL, your Dibs shift is cancelled. When this happens, we can give those with cancelled shifts priority in rescheduling. 

Partial shifts that have been signed in, but that are canceled before completion due to PNHLL-determined weather-related issues, will earn Dibs credit.

Can I hire someone to complete my Dibs shifts for me?

Yes! You can hire someone from your own network to fulfill all of your volunteer hours for you. You can hire someone you know to work concession stand LEAD (if trained), REGISTER and RUNNER hours. Please note that individuals must be at least 16 years old to work the concession stand register, and 17 to operate a grill. An order runner not completing hot food preparation must be at least 14 years old.

If you do not buy out your Dibs obligation, you should intend to fulfill or arrange to fulfill your required hours. PNHLL has a limited pool of teens and young adults who may be available for you to hire to fulfill a portion of your Dibs hours. If you would like to be connected with individuals from this pool, please email the PNHLL Volunteer Coordinator. These individuals may also be able to fill a shift that you need to cancel on short notice, but your ability to hire from this pool cannot be guaranteed by PNHLL. The obligation to fulfill all required Dibs hours will remain yours.
